We are hiring for two positions: Medical Office Assistant and Program Assistant. Both roles contribute to high-quality patient care and smooth clinic operations. Position: Medical Office Assistant ( Part-time) Location: Prescott clinic, Reporting to: Executive Director

Role overview The Medical Office Assistant (MOA) provides front-line administrative support to the Prescott Family Health Team. Working collaboratively with the Administrative Team to support the smooth and efficient day-to-day operations of the clinic. Responsibilities include assisting with scheduling, patient registration, medical records, referrals, correspondence, and documentation, while providing administrative coverage and supporting workload redistribution as needed. The role works collaboratively with administrative staff to ensure patients receive timely and professional service and performs other administrative duties and projects as assigned by the Administrative Lead/Manager or Executive Director.

Key responsibilities

  • Greet and assist patients in a professional, welcoming, and respectful manner.

  • Answer and direct telephone calls, respond to inquires, and provide information as appropriate.

  • Schedule and manage patient appointments, including follow-ups and referrals.

  • Register patients, update demographic information and maintain accurate records.

  • Process referrals, consults, reports and other clinical documentation.

  • Support physicians and healthcare providers with administrative and clerical needs.

  • Maintain electronic medical records and ensure information is entered accurately and efficiently.

  • Manage incoming and outgoing correspondence, faxes and electronic communications.

  • Assist with forms, documentation, scanning, filing and data entry.

  • Coordinate communication between patients, providers, specialist, pharmacies and community partners.

  • Assist with patient recalls, reminders and follow-up activities.

  • Maintain confidentiality duties as required to support the Family Health Team.

Qualifications

  • Medical Office Administration certificate/diploma or equivalent experience is an asset.

  • Previous experience in a medical healthcare setting preferred.

  • Experience with electronic medical records; PS Suite experience is an assest.

  • Excellent attention to detail and accuracy.

  • Ability to manage multiple priorities in a busy healthcare environment.

  • Ability to work independently and collaboratively as part of a multidisciplinary team.

  • Demonstrate professionalism, compassion, confidentiality and commitment to patient-centered care.

Position: Program Assistant ( Part-time) Location: Prescott clinic, Reporting to: Executive Director

Role overview The Program Assistant provides administrative and patient-focused support to the Prescott Family Health Team, assisting with the coordination and delivery of programs, services, and initiatives. The position works closely with healthcare providers, staff, patients and community partners to ensure programs operate efficiently and provide a positive experience.

Key responsibilities

  • Coordinate and support patient programs, workshops, education sessions and group activites.

  • Assist patients with program inquiries, registrations, appointments and follow ups.

  • Provide information regarding PFHT programs, services and community resources.

  • Maintain program records, attendance, data, and reporting requirements.

  • Assist with surveys, feedback, quality improvement and program evaluation.

  • Provide administrative support to clinicians, program leads and the Executive Director.

  • Prepare correspondence, documents, meeting materials and reports as required.

  • Assist with internal and external meetings, community events and outreach activities.

  • Maintain confidentiality and comply with all privacy, safety and organizational policies.

  • Support a welcoming, respectful and patient-centered environment.

  • Perform other duties as required to support the operations of Family Health Team.

Qualifications

  • Post-secondary education in healthcare administration, office administration, social services or a related field is an asset.

  • Previous healthcare, community service, or patient-facing experience is preferred.

  • Strong organizational, communication and interpersonal skills.

  • Excellent attention to detail and ability to manage multiple priorities.

  • Proficiency with Microsoft Office and electronic systems; EMR PS Suite experience is an asset.

  • Ability to work independently and collaboratively within a multidisciplinary team.

  • Demonstrated professionalism, confidentiality, compassion and commitment to patient-centered care.
